An email signature adds your name, job title, phone number or website to the bottom of every message, so you don’t have to type them each time. In OX App Suite you can create several signatures and choose which one goes on new emails and which on replies. This guide covers creating a signature, where it’s placed, setting defaults and checking that it works.
Quick answer
In OX App Suite, click the gear icon → All settings → Mail → Signatures → Add new signature. Enter a Signature name and the signature text, choose a Signature Position and click Save. Then click Set default signatures, pick it for Default signature for new mails and Default signature on reply or forward, and click Save.

Step 1: Open the Signatures settings
- Click the gear icon at the top-right of OX App Suite and choose All settings.
- Click Mail in the left-hand list. Signatures (“Add your contact details and important information automatically”) is the first section.
- Click Add new signature. To start from a ready-made layout instead, click New from template.

Step 2: Write the signature
- In the Add signature window, give it a Signature name, such as “My Signature”. Only you see the name; it helps if you have more than one.
- Type the signature in the large text box, for example “Best regards,” on one line and your name and company on the next. Use the toolbar to add bold, a link to your website or a small logo.
- Choose a Signature Position. Add signature below quoted text puts it at the very bottom of replies, under the earlier message.
- Click Save.

Step 3: Set it as your default
Your signature now appears as a card in the Signatures section, with Edit and × (delete) buttons.

- Click Set default signatures.
- Choose your signature for Default signature for new mails, and again for Default signature on reply or forward if you want it on replies too.
- Click Save.

Step 4: Check it in a new email
Go back to Mail and click New email. Your signature should already be in the message body, ready for you to type above it.

Editing, switching or removing a signature
To change the wording later, go back to Settings → Mail → Signatures and click Edit on the signature card. The same Add signature editor opens, and your changes apply to new messages from then on. Emails you’ve already sent keep the old signature.
To leave the signature off a single message, just delete the inserted text in the compose window before you send. Your default stays the same for the next email. To remove a signature for good, click × on its card. If it was a default, check Set default signatures afterwards so new emails don’t end up without the one you want.
Tips and troubleshooting
- Signature not showing? Check Set default signatures. A saved signature isn’t added automatically until it’s chosen as a default.
- Want no signature on replies? Leave Default signature on reply or forward set to no signature, and keep it only for new mail.
- Keep it light. Three or four short lines work best on phones. Large images can make messages look like spam or show up as attachments.
- Change or remove it later with Edit or × on the signature card.
- Other mail apps. This signature is only used in OX App Suite webmail. Outlook or a phone mail app needs its own.
If you’re looking for hosted email, Thexyz email includes webmail you can use from any browser, along with calendar and contacts.
Frequently asked questions
Can I have more than one signature in OX App Suite?
Yes. Click Add new signature for each one, for example a full signature for new emails and a short one for replies, then choose them in Set default signatures.
Can I add a logo or link to my signature?
Yes. The signature editor has buttons to insert a link and an image. Keep images small so they display well.
Where does the signature go when I reply?
That depends on Signature Position. With Add signature below quoted text it goes at the bottom, under the message you’re replying to.
