How to Restore Deleted Files from Trash in OX App Suite Drive

Deleted something from OX App Suite Drive by mistake? Deleted files and folders go to Trash first, and you can bring them back from there. To show the whole process, we created a test folder, deleted it and restored it. This guide walks through each step.

Quick answer

In Drive, click Trash in the left panel. Tick the item you want back, click the … button in the toolbar and choose Restore. Choose Move instead to put it in a different folder.

Step 1: Create a folder (optional)

If you just want to recover something, skip to Step 3. To try it safely first, make a test folder.

1. Open Drive and go to My files.
2. Click New and choose the option to add a folder. The Add new folder window opens with “New folder” filled in.
3. Type a name, such as “Wiki Test Folder”, and click Add.

The new folder appears in the file list and under My files in the left panel. For more on folders and uploads, see how to upload and share files in Drive.

Step 2: Delete the item

1. Tick the checkbox next to the item in the file list.
2. Click the trash icon in the toolbar, and confirm when asked.

Step 3: Restore it from Trash

1. In the left panel, click Trash. Everything you have deleted is listed with the time it was deleted.
2. Tick the checkbox next to the item you want back.
3. Click the … button in the toolbar.
4. Choose Restore.

Restore is meant to put the item back in the folder it came from. Move, in the same menu, lets you choose a different folder instead. If you open the item’s details while it’s in Trash, its Folder shows as Trash.

Step 4: Check that it's back

Click My files (or the folder the item came from) and look for it in the list. We didn’t capture the list after restoring, so check this yourself before deleting anything else.

Tips

• Share icon greyed out? In our test the share icon was greyed out in Trash. Restore the item before sharing it.
• Recovering an email instead? Mail has its own Trash folder in the folder list.

How to Share Your Contacts Address Book in OX App Suite

Sharing an address book means a colleague or assistant can look up the same contacts without you exporting and emailing a file. In OX App Suite, each address book is a folder with its own Share / Permissions option. This guide shows how to share the default Contacts address book and what each part of the permissions window does.

Quick answer

Open the Address Book, hover over Contacts under My address books and click the … button next to it. Choose Share / Permissions, type a name or address under Invite people, set Invite as (for example Viewer) and click Save.

Step 1: Open the address book menu

1. Click the contacts icon in the top bar to open the Address Book.
2. In the left panel, under My address books, you’ll see Collected addresses, Contacts and Trash. Public address books holds All Users.
3. Hover over Contacts and click the … button next to it.
4. Choose Share / Permissions.

The same menu has Add to favorites, Import, Export and Properties. For moving contacts in and out, see how to import and export contacts.

Step 2: Invite people

The Permissions for folder “Contacts” window opens.

1. Check Who can access this folder?. Ours was set to Invited people only, which keeps the address book private to the people you add.
2. Under Invite people, type a name or email address in the Name or email address field, or click the address book icon at its right to pick someone.
3. Next to Invite as, check the access level. Ours showed Viewer, which suits someone who only needs to look contacts up. Click it to see the other levels.
4. Click Save.

Below the invite field is a list of everyone who already has access. You are listed as Owner, with a Details link.

Step 3: Change or stop sharing later

Open Share / Permissions again from the same menu. Unshare, at the bottom-left, removes the sharing; it was greyed out in our test because nobody had been invited yet. Cancel closes the window without saving.

We didn’t save a share in testing, so we haven’t shown how a shared address book appears for the other person.

• Share only some contacts? Create a separate address book for them and share that one instead of Contacts.

How to Find a Free Time for a Meeting in OX App Suite

Picking a meeting time by email can take days. OX App Suite Calendar has a Scheduling view that lines up the participants of an appointment on one timeline, so you can see when people are free before you send the invitation. It opens from the Find a free time … link in the appointment form.

Quick answer

In Calendar, click New appointment. Add people under Participants and resources, then click Find a free time …. In Scheduling, add more people with Add participant, check the timeline and click Apply changes. Back in the form, click Create.

Step 1: Start a new appointment

1. Open Calendar and click New appointment at the top-left.
2. In Create appointment, type a Title and set Starts on and Ends on. Ours defaulted to 8:00 AM to 9:00 AM.
3. Under Participants and resources, type a name or email address in the Name or email address field. You are already listed under Participants as the Organizer.

Step 2: Open the Scheduling view

1. Click Find a free time … at the right of Participants and resources.
2. The Scheduling window opens. Participants are listed on the left, with a timeline for the week on the right.
3. To add someone here, type in Add participant.

The blue block marks the time currently set for the appointment; in our test that was 8:00 AM on Tuesday, matching the form. Use the arrows beside the date range (ours showed 11/1/2026 – 11/7/2026, CW 45) to move between weeks, and −, 100% and + at the top-right to zoom the timeline.

Step 3: Adjust the view with Options

1. Click Options at the top-right.
2. Under Rows, choose Compact for tighter rows, or Show fine grid for more time lines.
3. Under Date range, pick Week or Month.
4. Hide non-working time was ticked in our test. It hides the hours outside your working day so the timeline stays short.

The menu also lists Free under Appointment types. Your working hours come from the Calendar settings; see calendar settings and sharing.

Step 4: Apply the time and create the appointment

1. When you have found a slot that suits everyone, click Apply changes at the bottom-right. Cancel closes Scheduling without changes.
2. Back in Create appointment, check the times and click Create. Discard throws the draft away.

We tested with only one participant, so our timeline doesn’t show anyone else’s busy times. With more people added, each gets their own row.

Tips

• Can’t see someone’s schedule? Free/busy details depend on the other person’s account and sharing. People outside your organisation may not show any.
• Looking further ahead? Switch Date range to Month.
• Let others edit? The form has a Participants can make changes option below the participant list.

How to Add Another Email Account in OX App Suite

If you have a second mailbox somewhere else, OX App Suite can add it alongside your main account, so you don’t have to sign in to two webmail sites. The option sits in the Quick Settings panel and asks for just two things: the address and its password. Here’s where to find it.

Step 1: Open Quick Settings

1. Click the gear icon at the top-right of OX App Suite (its tooltip says Settings). The Quick Settings panel opens on the right.
2. Near the bottom of the panel, click Add email account …. It sits with Connect your device … and Install App Suite like an app ….

Step 2: Enter the account details

1. In the Add email account dialog, type the full address under Your email address.
2. Type that account’s password under Your password. This is the password for the other mailbox, not your OX App Suite password.
3. Click Add. Click Cancel to close the dialog without adding anything.

As the dialog notes, “Your credentials will be sent over a secure connection only”. The ? icon at the top-right of the dialog opens help.

We didn’t connect a real second account in testing, so we haven’t shown what happens after Add. What you see next depends on your other provider.

Tips and troubleshooting

• Password not accepted? Many providers block sign-ins from other apps when two-step verification is on and ask you to create an app password instead. Check your other provider’s security settings.
• Only want to send as another address? If your host offers aliases, that may be simpler than adding a whole mailbox.
• Setting up a phone instead? Use Connect your device … in the same panel.

How to Sort Your Inbox and Group by Conversation in OX App Suite

By default, OX App Suite Mail lists your newest messages first. If you’d rather see unread mail at the top, sort by sender, or keep a reply chain together, you can change it from one small menu above the message list. This short guide shows where that menu is and what each option does.

In Mail, click the … button to the right of the folder name above the message list. Under Sort by, choose Date, From, Unread, Size, Subject or Color. Under Sort order, pick Ascending or Descending. Click Conversations under Group by to keep related messages together.

Step 1: Open the sort menu

1. Open Mail and click the folder you want to sort, for example Inbox.
2. Click the … button to the right of the folder name, above the message list.

The menu also has Select all messages at the top, which is handy before moving or deleting everything in a folder, and Inbox categories ….

Step 2: Choose what to sort by

Under Sort by, click one option. The selected one has a filled circle; ours was set to Date.

• Date: by when the message arrived. This is the usual choice.
• From: by sender, so all mail from one person sits together.
• Unread: unread messages are grouped together, so you can work through them.
• Size: useful for finding large emails when your mail storage is filling up.
• Subject: alphabetical by subject line.
• Color: by the colour flag you gave a message.

Step 3: Set the sort order

Under Sort order, choose Descending or Ascending. With Date, Descending puts the newest mail at the top (our default) and Ascending puts the oldest first. For From or Subject, Ascending runs from A to Z.

Step 4: Group messages by conversation

Click Conversations under Group by to show a message and its replies together instead of as separate lines. Click it again to go back to a flat list. In our test it was switched off.

Our test mailbox was empty, so we can’t show a sorted or grouped list here. The options take effect on the message list as soon as you click them.

Change the rest of the inbox view

Sorting changes the order of your mail; the Quick Settings panel changes how the list looks. Click the gear icon at the top-right of OX App Suite (its tooltip says Settings). The Quick Settings panel opens on the right. Under Layout, choose Vertical, Horizontal or List to move or hide the reading pane. Under List options, choose Contact pictures, Checkboxes or Simple.

Most settings in Thexyz Webmail live in one place: the My account window. It has around twenty sections, from your password to the order of the main menu. This tour explains what each one is for, links to our step-by-step guides, and shows three sections in detail: Menu order, Incoming Rules and the Calendar defaults.

1. Click your avatar at the top-right of Thexyz Webmail and choose My account. (The same menu has User Settings and Logout.)

Change the menu order

1. Click Menu order. The page says Use the arrows to reorder. Drag rows as a shortcut. Reload the page to apply changes.
2. The Module column lists E-mail, Calendar, Address book, Tasks, Notes, Files, EasyMeet and any other modules on your account. Use the arrows in the Move column to move a module up or down, or drag its row by the dotted handle.
3. Click Save, then reload the page in your browser to see the new order.

Changed your mind? Click Reset to default, then Save and reload. To choose which module opens first after you sign in, use Start in module under Look & feel.

Incoming Rules

Incoming Rules lists the rules that sort mail as it arrives, with Priority, Rule name and Enabled columns, and the buttons New rule, Edit, Delete, Move up, Move down and Refresh. Our test account already had two: BlacklistDelete and SpamDelivery, both enabled. As their names suggest, they deal with blocked senders and spam, so leave them alone unless you’re sure.

E-mail and Calendar defaults

E-mail holds the compose defaults: Default template, Use HTML markup, Show from field by default, Show CC field by default, Show BCC field by default, read-notification options, and Save an extra copy of sent items to folder: (Don’t save in our test). It also has a Local Delivery setting that the page itself warns you not to disable unless you know what you’re doing.

Calendar sets Defaults settings for appointments: Reminder, Color, Default calendar, Show event statuses in views and Check for conflicts.

Below that is EasyMeet Status, with an Enable EasyMeet button. EasyMeet is a booking page that, according to the text on screen, lets clients book a video, phone or in-person meeting through your link and syncs with your calendar. Tips and troubleshooting

• A change didn’t stick. Click Save before closing My account.
• Menu order hasn’t changed. Reload the page after saving.
• Can’t see every section. Scroll the left-hand list; Incoming Rules, E-mail and Calendar are at the bottom.
• Different labels on your screen. Section names can vary slightly depending on your webmail version.
• Undo send delay and signature. These are per account, in the E-mail Account window; see our signature guide.

How to Upload and Share Files in Thexyz Webmail

Files is the online storage space in Thexyz Webmail. You can keep documents there instead of on one computer, create folders, start new documents and spreadsheets, and share a file with someone outside your organisation without attaching it to an email. This guide covers creating a folder, uploading a file, the Share externally option and the other right-click actions.

Open Files from the main menu. Click + and choose Folder to make a folder, or Files to upload. To share a file with someone outside your account, right-click it and choose Share externally. Right-click a folder for Properties, Add to favorites or Delete.

Step 1: Create a folder

1. Open Files from the main menu. Your own storage is under Personal in the left sidebar; Shared is for items shared with you, and Favorites for folders you bookmark.
2. Click + in the toolbar. The menu lists Files and Folders (upload), Folder (create), New document, New spreadsheet, New presentation, New form and Manage templates.

3. Click Folder. In the Add folder box, replace New folder with a name such as Tutorial Folder and click Ok.

4. The folder appears in the list and under Personal in the sidebar.

Step 2: Upload a file

1. Open the folder you want to upload into.
2. Click + → Files and choose one or more files from your computer. To upload a whole folder, choose Folders instead. You can also drag files onto the Drop files here area.
3. The file appears in the list with its Modified at and Created at times.

Step 3: Share a file externally

1. Right-click the file. A menu opens with Open, Open with, Download, Share externally, Lock, Properties, Cut, Copy, Delete, Edit selection, Compress, Email files and Download selected.
2. Choose Share externally and follow the options that appear to create the share.

We didn’t capture the sharing window itself, so check its options (such as who can open the link and for how long, if offered) before you send the link to anyone. To send the file as an attachment instead, choose Email files; see how to compose an email in Thexyz Webmail.

Managing folders

Right-click a folder for Properties, Add to favorites, Cut, Copy, Delete, Compress and Download selected.

• Properties shows the folder’s details; look there for its name.
• Add to favorites puts it under Favorites in the sidebar for quick access.
• Compress and Download selected let you take a copy of several items at once.
• Delete removes the folder and what’s inside it, so check the contents first.

Tips and troubleshooting

• Can’t find an upload button. It’s inside the + menu, as Files or Folders.
• Someone can’t open your shared link. Make sure you used Share externally rather than sharing within your organisation.
• Lock (in the file menu) is meant to stop others changing a file while you work on it.
• Create documents online. New document, New spreadsheet and New presentation in the + menu create files without leaving webmail.

How to Create and Delete Notes in Thexyz Webmail

Thexyz Webmail has a built-in Notes module for things you want to keep but that aren’t emails or appointments: meeting notes, door codes, a packing list. Notes support formatting, can have files attached and are available from any browser you sign in on. This guide covers creating a note, what the note view shows, and deleting a note you no longer need.

Quick answer

Open Notes from the main menu and click + (Add) above the list. In the Note window, type a Name, write your text and click Save. The note appears in the list. To delete it, select it, open the ⋮ menu at the top-right of the note and choose delete, then click Yes in Confirm delete.

Step 1: Start a new note

1. Open Notes from the main menu. The left side has Notebooks and Filters; the middle shows your notes with the columns Name and Modified at. A new account shows No items to display.
2. Click the + button above the list. Its tooltip says Add.
3. A Note window opens, with an empty Name field at the top.

Step 2: Write and save the note

1. Type a Name, for example Tutorial Note. The window title changes to match.
2. Click in the large box and write your note. The toolbar works like a word processor: paragraph style (Normal), font (Helvetica), size (14px), bold, italic, underline, images, links, colours, lists, tables and alignment.
3. The Notebook field shows which notebook the note is saved in. Leave it as it is unless you have more than one.
4. Click Save.

Step 3: Find and use your note

The note now appears in the list with the time it was last modified. Click it to open it on the right.

• The top panel shows the note’s name and text.
• Files lets you attach documents: drag them to Drop files here, or click Browse files and then Upload.
• Info shows when the note was Created and Modified.
• The icons at the top-right include a pencil for editing the note and a ⋮ menu with more actions.

How to delete a note

1. Click the note in the list to select it.
2. Open the ⋮ menu at the top-right of the note pane and choose the delete option.
3. A Confirm delete box asks Are you sure you want to delete this item? Click Yes to delete, or No to keep the note.

Tips and troubleshooting

• Note didn’t save. You need a Name and a click on Save; if you close the window with the × first, the new note may not be kept.
• Need a to-do list with due dates? Use tasks instead; see how to use tasks in Thexyz Webmail.
• Big files. For large documents, store them in Files and keep a short note pointing to them; see how to upload and share files.
• Find a note fast. Use the search icon above the list, or sort by Modified at.
• Notes are missing from the menu. The order of modules can be changed; check My account → Menu order (see our tour).

How to Create and Share a Calendar in Thexyz Webmail

One calendar is fine for most people, but a second one for work, family or a shared room can keep things clearer. In Thexyz Webmail you add calendars in the calendar Administration window, then decide who can see or edit each one on its Permissions tab. This guide walks through creating a calendar, sharing it, the public iCalendar option, and deleting a calendar you no longer need.

Step 1: Open Calendar Administration

1. Open Calendar from the main menu.
2. Click the gear icon. There is one in the top toolbar and one beside the Calendars heading in the left sidebar; depending on your webmail version, one of them opens Administration.

The Administration window has the tabs Calendars, Views, Resource groups, Resources and Categories. On Calendars you’ll see Add, Delete and Custom fields, and a list of calendars with their Name and Owner.

Step 2: Create the calendar

1. Click Add. A Calendar window opens on the Properties tab, with your account already filled in as User.
2. Type a Name, for example Tutorial Calendar.
3. Optionally tick Show birthdays from addressbook, Show holidays or Show completed tasks, and add a Comment or Tooltip text.
4. Click Save.

5. The new calendar appears in the Administration list.

Step 3: Share it with Permissions

1. In Administration, double-click the new calendar to open it again.
2. Click the Permissions tab. On a brand-new, unsaved calendar the Categories, Permissions and Import tabs are greyed out, which is why you save first.

Two rows are already there: Internal with Write, and you as owner with Manage.

3. Click + to add a person or group, then choose their Level.
4. To remove someone, select their row and click the trash icon.
5. Click Save.

Check the Internal row before you rely on a calendar being private: in our test new calendars came with Write for that group. Depending on your webmail version and account, you may want to lower or remove it.

Public iCalendar link

On the Properties tab there’s a box labelled Publish iCalendar file of last month and future events. Caution! The calendar will be readable to everyone. Ticking it creates a public feed, shown in Direct URL, that anyone with the link can subscribe to. Only use it for calendars with nothing private in them, such as office opening hours.

How to delete a calendar

1. In Administration → Calendars, click the calendar once to select it.
2. Click Delete, and confirm if you’re asked. The calendar disappears from the list.

Expect a deleted calendar’s appointments to go with it, so move or note anything you need first.

• Permissions tab is greyed out. Save the calendar first, then open it again.
• Can’t find Administration. Try the other gear icon (toolbar or sidebar).
• Choose your default calendar. That’s set in My account → Calendar; see our My account tour.

How to Import and Export Contacts in Thexyz Webmail

Moving to Thexyz Webmail from another service, or want a backup of your address book? The Address book can bring contacts in from a file and send them out again in several formats, including vCard and CSV. Both options sit in one small menu that’s easy to miss. This guide shows where it is, which formats you can choose and how to tidy up afterwards.

Step 1: Open the Address book menu

1. Open Address book from the main menu.
2. At the top of the contact list, next to the + button, click the ⋮ (three dots) button.
3. A menu opens with Import, Export and Look for duplicates.

Step 2: Import contacts

1. First export your contacts from your old service. A vCard (.vcf) or CSV file works with most providers.
2. In the ⋮ menu, click Import. Your computer’s file picker opens.
3. Choose the file and confirm. In our test, the picker accepted .csv, .vcf, .json and .xlsx files.
4. Check the new contacts in the list. Open one or two to see that names, emails and phone numbers landed in the right fields.

CSV files from other services use different column names. If fields end up in the wrong place, try a vCard export from the old service instead; vCard has fixed field names, so it usually maps more cleanly.

Step 3: Export contacts

1. Click ⋮ and point to Export. A submenu opens.

2. Choose a format:

• vCard (Virtual Contact File): best for moving contacts to another mail service, a phone or Outlook.
• Microsoft Excel or Comma Separated Values: a spreadsheet you can edit, sort or merge.
• Web page (HTML): a readable list to view in a browser or print.
• JSON: for developers and scripts.
• Labels: printable address labels (it has a printer icon rather than a file format).

3. Save the file your browser downloads somewhere safe.

Step 4: Remove duplicates

Importing the same contacts twice, or merging two lists, often leaves duplicates. Click ⋮ → Look for duplicates to find them.

Tips and troubleshooting

• Import does nothing. Check the file extension. A file saved as .txt won’t be treated as CSV; rename it to .csv or export again.
• Accents or special characters look wrong. Save the CSV as UTF-8 in your spreadsheet app and import again.
• Only some contacts exported. Check which address book is selected in the left-hand list before you export.
• Making a backup. Export as vCard every few months and keep the file with your other backups.
• Too many duplicates to fix. Delete the imported batch, clean up the source file, then import once.
