Tasks is the to-do list built into Thexyz Webmail. It’s simple to use: add a task with a subject, tick it off when it’s done, and tidy up old tasks when you no longer need them. Because it’s in the same place as your mail and calendar, it’s handy for follow-ups (“reply to the quote”, “send the invoice”) that would otherwise sit in your inbox. This guide covers creating, completing, finding and deleting tasks.
Quick answer
Open Tasks, click +, type a Subject and click Save. To complete a task, click the circle next to it. Completed tasks are hidden until you tick Show completed on the left. To delete a task, select it, click the ⋮ menu at the top-right, choose Delete and click Yes.

Step 1: Create a task
- Click Tasks in the top bar.
- Click the + button at the top-right of the task list. The Task window opens.
- Click in Subject and type what needs doing.

- Fill in anything else you need (see below), then click Save.

Only Subject is required. The form also has Start and Due dates, Estimated duration, Progress (it starts at Needs action), Percent complete, Priority, Recurrence, List, Responsible, Category, Description, Location and Alerts (Add alert for a reminder).
Step 2: Mark a task as complete
- Your new task appears in the list, and the panel on the right shows its details with a NEEDS ACTION label.

- When the task is done, click the circle to the left of its title.
- The label in the detail panel changes to COMPLETED, and the task drops out of the list. That’s because completed tasks are hidden by default (Show completed is unticked).

Step 3: Show completed tasks and delete one
- Tick Show completed in the left panel. Completed tasks reappear with a tick in the circle.
- Select the task you want to remove.
- Click the ⋮ (more) button at the top-right of the detail panel. The menu has Links, Files, Print and Delete.
- Choose Delete.

- In the Confirm box, click Yes.

Deleting is permanent, so if you only want the task out of sight, marking it complete is enough.
Finding your tasks
The left panel has quick views so the list stays manageable:
- Today and Due in seven days show tasks with due dates coming up.
- All shows every task; Unscheduled shows tasks without dates, and Scheduled those with dates.
- Under Assigned, Mine and Unassigned filter by the Responsible person.
- Lists and Categories let you group tasks, for example one list for work and one for home.
The list itself has columns for Title, Start at, Due at, Responsible and % complete, so you can sort by due date.
Tips and troubleshooting
- A task disappeared after I ticked it. It’s completed, not deleted. Tick Show completed to see it again.
- Undo a completion. Tick Show completed, then click the ticked circle again, or open the task and change Progress back to Needs action.
- Want a reminder? Open the task, click Add alert under Alerts, and save.
- Recurring chores. Set Recurrence in the task form instead of creating the same task every week.
- Tasks alongside appointments. For something at a fixed time, an appointment may suit better; see how to add appointments in Thexyz Webmail Calendar.
Thexyz Webmail comes with Thexyz hosted email, so the same mail, calendar, contacts and tasks are available from any browser.
