How to Add an Email Signature in Thexyz Webmail

How to add an email signature in Thexyz Webmail

A signature is the block of text that appears at the bottom of every message you write: your name, job title, phone number or a short sign-off. In Thexyz Webmail the signature isn’t in a general settings page. It belongs to your mail account, so you set it from the account’s Properties window in the folder tree. This guide shows where that window is, how to add a signature, how to change or remove it later, and what the nearby options do.

Quick answer

In E-mail, right-click your account name at the top of the folder tree and choose Properties. On the Properties tab, type your text in the Signature box, then click Apply or Ok. To remove a signature, open the same window, clear the Signature box and click Ok.

Step 1: Open your account properties

  1. Sign in to Thexyz Webmail and open E-mail.
  2. In the folder tree on the left, find your account name. It sits above Inbox, below Smart folders.
  3. Right-click the account name. A short menu appears with Add folder, Subscribe to folders and Properties.
  4. Click Properties.

Make sure you right-click the account itself, not Inbox or another folder. A folder has a longer menu (with Rename folder, Empty folder and so on), and its Properties is for that folder only.

Step 2: Type your signature

  1. The E-mail Account window opens on the Properties tab. The left column shows User, Name and E-mail for the account, with an empty Signature box underneath.

  1. Click in the Signature box and type your signature. Press Enter for each new line. Most people use two to four lines: name, role or company, and a phone number or website.
  2. Click Apply to save and keep the window open, or Ok to save and close it.

Step 3: Check that it saved

  1. Right-click the account again and choose Properties.
  2. Your text should still be in the Signature box. If it is, the signature is saved.

To see it in use, open a new message with Compose and look at the message body. You don’t need to send anything to check. Close the compose window when you’re done, and confirm that you want to discard it.

How to change or remove a signature

  1. Open E-mail, right-click your account and choose Properties.
  2. To change the signature, edit the text in the Signature box. To remove it, select everything in the box and delete it so the box is empty.
  3. Click Ok.

The change applies to new messages you start after saving.

Other options in the same window

The E-mail Account window is worth a quick look while you’re there, because several related settings sit beside the signature:

  • Default e-mail template chooses the template new messages start from. View and edit e-mail templates opens the template editor.
  • Undo send sets how long you have to cancel a message after clicking Send (it showed 5 seconds in our test account). Our separate guide to Undo Send in Thexyz Webmail covers it in detail.
  • On reply/forward: Place signature always at the end of the mail. Tick this if you want the signature under the quoted text when you reply or forward, rather than straight under your new text.
  • The Folders column on the right (Sent items folder, Trash folder, Drafts folder, Spam folder) controls which folders the account uses. Leave these alone unless you know you need to change them.

Tips and troubleshooting

  • No Properties option? You probably right-clicked a folder. Right-click the account name at the top of the tree instead.
  • The signature is in the wrong place on replies. Tick On reply/forward: Place signature always at the end of the mail. and click Ok.
  • Several addresses on one login? The Aliases button at the bottom-left of the E-mail Account window is where alias addresses are managed.
  • Keep it short. Long signatures and large images make replies hard to read on phones. A few lines of plain text work everywhere.
  • Using OX App Suite instead? It works differently; see How to Add an Email Signature in OX App Suite.

Thexyz Webmail comes with Thexyz hosted email, so the same mail, calendar, contacts and tasks are available from any browser.

Frequently asked questions

Can I add a different signature for each account?
Yes. The signature is part of each account’s Properties, so right-click each account in the folder tree and set its own Signature.

Do I click Apply or Ok?
Either saves the signature. Apply keeps the window open so you can change other settings, while Ok saves and closes it.

How do I stop the signature appearing at all?
Open Properties, delete everything in the Signature box so it is empty, and click Ok.
