How to Add Contacts and Create a Distribution List in OX App Suite

How to add contacts and create a distribution list in OX App Suite

The OX App Suite Address Book stores the people you email, and a distribution list lets you email a whole group by typing one name. This guide shows how to add a contact, create a distribution list, add people to it, and delete a contact (with the Undo option if you change your mind).

Quick answer

Open the Address Book in OX App Suite and click New contact. Fill in the name, email and phone, then click Save. For a group, click the arrow next to New contact, choose New distribution list, enter a Name, add people in the Add contact field and click Create list.

Understanding the address books

The left-hand side of the Address Book lists your address books. Under My address books, Contacts holds the people you add yourself, Collected addresses gathers addresses from mail you’ve sent or received, and Trash keeps deleted contacts for a while. Under Public address books, All Users lists everyone in your organisation, if your provider has enabled it.

New contacts and distribution lists are saved in whichever address book is selected when you create them, so pick Contacts first to keep things tidy.

Step 3: Email the list, or delete a contact

To email everyone on the list, start typing the list’s name in the To field of a new email and pick it.

To delete a contact, select it in the list and click the trash icon in the toolbar. A notice confirms it’s been deleted, with an Undo button you can click straight away if you picked the wrong one.

Tips and troubleshooting

  • Contacts you’ve emailed but never saved are often in Collected addresses under My address books.
  • Deleted by mistake? Click Undo in the notice right away, or look in the address book’s Trash.
  • Need a list of company colleagues? Check Public address books → All Users before adding people one by one.
  • Typing a full address? Use the format shown in the window: john.doe@example.com, or “John Doe” <jd@example.com> to include a display name.

If you’re looking for hosted email, Thexyz email includes webmail you can use from any browser, along with calendar and contacts.
