Step 2: Write your out-of-office reply
- Turn on the Automatic replies toggle at the top of the window.
- To reply only while you’re away, tick Send automatic replies during this time only and pick Start and End dates. The window shows how many days that covers. If you leave it unticked, replies go out until you turn them off.
- Enter a Subject, for example “Out of office”.
- Write your Message, for example: “Thank you for your email. I am currently away and will reply when I return.” Mention your return date and who to contact if it’s urgent.
- Click Apply changes.

Step 3: Check the advanced options (optional)
Click Show advanced options to fine-tune the reply:
- Days between replies to the same sender stops people getting your auto-reply every time they write. It was set to 7 in our test.
- Send from picks which of your addresses the automatic reply comes from.

Step 4: Turn automatic replies off
- Open Automatic replies … again.
- Switch off the Automatic replies toggle and click Apply changes. Your subject and message are kept for next time.

In Settings → Mail → Rules, the reply now shows as automatic replies (Disabled). You can switch it back on from there with Enable.

Tips and troubleshooting
- Set dates so you don’t forget. With Send automatic replies during this time only ticked, replies stop on the End date even if you forget to switch them off.
- Testing it yourself. Because of Days between replies to the same sender, you may only get one auto-reply per sender in that period. Test from a different address.
- Several addresses? Use Send from under Show advanced options so replies come from the address people actually wrote to.
- Keep it short and safe. Avoid putting your home address or travel details in an auto-reply, since it can go to anyone who emails you.
